IQAC Conducts Workshop on ISO 9001:2015 Documentation System

ISO Documentation workshop held on February 5, 2026
The Institutional Quality Assurance Cell (IQAC) successfully conducted a comprehensive workshop on the ISO 9001:2015 Documentation System on 5 February 2026. The initiative aimed to strengthen institutional documentation practices and further align ULAB’s internal processes with international Quality Management System (QMS) standards.
In his welcome remarks, Professor Jude William R. Genilo, PhD, Director of IQAC, underscored the strategic importance of systematic documentation in achieving institutional excellence. He emphasized that effective documentation supports the standardization and streamlining of workflows, enhances staff competencies, ensures regulatory compliance, and fosters a culture of continuous improvement. He also highlighted the critical role of documentation in advancing ULAB’s quality assurance and accreditation goals.
The workshop was facilitated by Dr. Wazir A.F. Ahmad, Additional Director of IQAC, who guided participants through the key principles and practical applications of ISO 9001:2015 documentation requirements. The session provided an in-depth orientation on document control procedures in line with Clause 7.5 of the ISO 9001:2015 standard, focusing on the identification, approval, version control, access, storage, retention, and protection of documented information.
Key areas covered included the structure of the ISO document control system, standardized referencing and numbering of academic and administrative documents, preparation of master document lists, formulation of quality objectives, alignment of Key Result Areas (KRAs), risk assessment frameworks, work plans, and accomplishment reporting mechanisms. Participants were introduced to risk-based thinking as an integral component of proactive quality management.
The workshop also addressed practical aspects of maintaining documentation integrity. Best practices—such as proper authorization, consistent version control, limited printing, and adherence to retention and disposal policies—were discussed alongside common pitfalls, including missing signatures, inconsistent dates, overwriting, illegible entries, and lapses in data integrity.
Faculty members and administrative staff from various units actively engaged in the session and gained valuable insights into linking the University’s Quality Policy with measurable quality objectives and KRAs through structured planning and monitoring tools. The interactive discussions reinforced the understanding that systematic documentation and effective risk assessment are foundational to institutional transparency, accountability, and continuous improvement.
Through this capacity-building initiative, IQAC reaffirmed its commitment to cultivating a robust documentation culture at ULAB. The workshop marks another important step in strengthening the University’s internal quality assurance mechanisms and advancing its pursuit of sustained quality enhancement in line with international best practices.
